Welcome to a quick tour of Pro Crew Schedule!

Here’s a step-by-step guide to help you navigate the system with ease.

1. Logging In & Landing Page

Start by entering your username and password. Once logged in, you’ll land on the dashboard. From here, you can select your crew or create a new one.

2. Setting Up a Crew

Setting up a crew is a breeze:

  • Click on the “Crews” tab.
  • Add a crew name and assign it a color.
  • Hit Save, and your crew is now listed on the schedule page!

You can select all crews or just one. If a crew doesn’t have tasks yet, you can start adding them right away.

3. Adding a Task

Creating a task is simple:

  • Choose a customer, area, and address.
  • Assign a unique job ID and a cost code.
  • Use the date picker to select the schedule (single-day, multi-day, or long-term projects).
  • Set the start time (e.g., 7:00 AM to 11:30 AM).
  • Define the status (customizable in settings).
  • Add tags to categorize tasks visually.
  • Choose crew-based scheduling (assigns tasks to a crew) or employee-based scheduling (validates real-time availability).
  • Hit Save—and that’s it! Your task is now scheduled.

4. Managing Tasks & Scheduling Views

You can view and manage scheduled tasks in multiple formats:

  • List View – See all tasks in a structured list.
  • Month View – A full calendar view.
  • Week View – Weekly breakdown of tasks.
  • Day View – Daily schedule details.

Tasks can be rescheduled or edited anytime to keep up with changing needs.

5. Time Cards: Clocking In & Out

Crew leaders can easily track work hours:

  • Upon login, they see their assigned crew.
  • Set work hours (e.g., 7:00 AM – 4:00 PM).
  • Add lunch breaks (e.g., 35 minutes).
  • Mark employees who did not work.
  • Click Save, and time cards are submitted.

Managers must approve time cards before they count toward total work hours. Approved time logs show who authorized them for full transparency.

6. Managing Employees

The Employee Section allows you to:

  • Edit contact details
  • Assign crews and roles (Administrator, Supervisor, Crew Leader, Auditor, or Crew Member)
  • Attach certifications and track skills

The Hours Overview helps you manage employee availability and prevents overbooking.

7. Projects & Inventory Management

Crew leaders can easily track work hours:

  • Upon login, they see their assigned crew.
  • Set work hours (e.g., 7:00 AM – 4:00 PM).
  • Add lunch breaks (e.g., 35 minutes).
  • Mark employees who did not work.
  • Click Save, and time cards are submitted.

8. Settings & Reports

  • Customize Status Labels (rename and change colors).
  • Manage Billing & Subscriptions (including integrations like Make.com).
  • Generate Reports in PDF format, filtering by:
    • Status
    • Job ID
    • Cost Code
    • Crew Assignments

9. Time-Off Requests

Employees can request time off directly in the system. Managers have the option to approve or decline requests, ensuring smooth scheduling.
